CONTRACT, PAYMENT AND CANCELLATION TERMS

Meraki is a full-service Venue with a liquor license.

No self-catering or own liquor allowed.

10% non-refundable booking fee to secure booking.

Amounts you agree to forfeit upon cancellation:

  • within 6 months of wedding date 10%, 60%,
  • within 4 months of wedding date and 80% within 60 days or less of function.

Should your function be moved due to national or natural disaster, you would not be penalized, but all expenses already occurred would be deducted. Available dates will be discussed between you and the venue should your function be unable to proceed due to natural disaster or illness.

You may move the function date in extreme circumstances, with proof to the venue, if it falls more than 4 months from your function date.

If the alternative date is not available, the venue will nominate available dates to accommodate you. If no agreement is reached, you may lose your deposit or you may opt for the next year, in which case the current quotation will not be valid, and a new quotation will be given.

R2000 breakage deposit for every 30 guests. All items replaced by current replacement cost. Breakage deposit is refundable within 5 working days of function if there were no breakages or losses. Breakage can also be described as a loss, or any item lost during the function, any plants taken during the function by guests or any item broken by children during the function. We also reserve the right to retain breakages for excess cleaning fee’s should guests not adhere to the venue rules with regard to smoking/cigarette butts/ people being sick (cleaning of bodily fluids) or use the cottage for any purpose other than a bridal dressing cottage.

Venue (bridal cottage) available from 08:00 the day of the function in the case of a wedding, depending on your package.

The venue will be closed on the Saturday at 24H00 until 09H00 the Sunday.

All functions to stop at 23H45 and all guests to exit the venue at 24H00. We will levy an

overtime fee for the staff if this curfew is not adhered to.  All ceremonies to start only from 15h30 and guests are only allowed to arrive from 15h00.

Any changes to the function must be specified in writing and no changes accepted 21 days before the Function.

The number of guests on the day must not exceed the number of guests booked. The guest fee and a fine of R500pp will be deducted from the breakage deposit, In such an instance, the venue reserves the right to stop the function. If any guests did not attend for whatever reason, the cost will not be refunded. Please ensure that you calculate your photographer/pastor etc, if you invited them to stay and they are not provided by the venue, or any other person that you may need to provide a meal for, as a guest. The venue will provide meals for venue staff.

We will not accommodate any vendors that arrives at our premises without prior arrangement with us, whether you have paid them or not

The Venue does not take responsibility for any private décor used and in the event that any private décor is used it must be removed immediately after the function, or no later than the following day at 09h00. Please pre-arrange if you choose to come and collect the next day.

The Venue does not take responsibility for any loss, damage or injury that you or any of your guests may suffer, privately or to their property during

your visit and you do so at your own risk. It remains your responsibility to inform your guests of this clause in our agreement.

We do not allow any spray, glue spray, glitter spray or other confetti at our venue. Sparklers and smoke bombs are strictly limited to outside use under controlled circumstances, with pre-approval from us.

A Full function program/itinerary must be sent to the Venue at least three weeks before the function including a list of all the special songs/music

that is requested, to ensure that the catering is on time and that all is provided on time. Any changes in the three-week time period right before the function will result in costs, and no changes to final guest count will be allowed. No stationary will be printed if we do not receive your lists in time. We take no responsibility of the spelling of names provided.

No guests are allowed in the kitchen.

You are not allowed to bring your own staff to the venue for any reason, unless as a wedding guest.

We request each user to preserve the garden and premises for the next guests. Do not walk in the flower beds, throw cigarette butts, allow children to play with the gravel walkways or with the outside fairy lights. Please also do not climb on to the boma or any of our features for pictures. It is not designed for that purpose. No guests are allowed to roam outside of the Venue area into the bushes.

Right of admission is reserved and the venue retains the right to ask any guest to vacate the property immediately should they do not adhere to the rules or threaten our safety at any given time. We do not take responsibility for rain/hail/veldfire, or any act of nature should your day not go as planned. We would do anything possible to make your experience as joyful as possible.

I understand that the venue does not offer any take-aways on food served during the evening and that only the wedding cake may be taken home. Children MUST be minded at all times, and we request that parents be informed that we will not look after their children or be held responsible for any injuries that their children may suffer. You will be held responsible for any damages caused by children.

Please note that we do not allow colouring pens, crayons, bicycles, skateboards or balls.

The Venue will offer one free mock up and consultation where you can then also practice your walk-in at the chapel on the same day. Other consultations are charged R250 per hour, even if the full hour was not utilized. All Mock-ups will be done in the period four to three months before the wedding. At the mock-up date 60% of your quotation amount must be paid.

It is the Venue’s responsibility to provide any service provider as stipulated in the package/quotation or to find a substitute, should such service provider not be available due to any un-foreseen circumstance, to ensure that the wedding continue with the best possible service to the client.

The Venue will provide back-up power in the form of a generator should there be any power failure on the day, for the duration of the function only.

The first two hours of generator use will be free, but you will be responsible for all other costs there-after. Note that function time does not include bride-getting ready time. (average running costs amounts to R350 per 2 hr cession, depending on fuel price)

No own liquor or drinks are allowed. We have a liquor license, and we will charge a corkage fee of R50pp on your total pax if someone is found with own liquor on our premises. We will not serve liquor to any underage person or persons who appear heavily intoxicated.
